XILO Workflows is an in-house feature similar to Zapier, designed to automate and streamline various insurance agency tasks. In this article, we will delve into the key triggers and actions available in XILO Workflows.

XILO Workflow Triggers

Lifecycle Stage Changed

This trigger is activated when a client's status changes on the CRM. It allows adding client data into subsequent actions, including first and last names. Additionally, referral partner information can be incorporated, enabling actions like emailing partners when a status moves to Sold.

Form Submission

Triggered by new form submissions, this feature currently restricts the use of submission data in actions but allows the use of client data. A typical application could be sending follow-up emails to clients after form submission, updating them on their application status.

Form Abandoned

This occurs when a client starts but abandons a form after entering contact information. Accessible data includes client details but not submission specifics. This trigger can be used to resend forms to clients, helping to increase conversion rates by enabling them to complete their applications.

Quote Sent

Activates when a quote is sent to a client via the Client Portal. It allows agents to use their own emails and campaigns instead of default email systems for notifying clients about quotes. A use case is sending a multi-step follow-up email to check if the client has reviewed their quote.

Rating Completed [beta]

This trigger is in beta and activates when rates are returned from XILO's Rating partners. While XILO doesn't offer real-time Rating, this trigger will enable actions like email campaigns once all rates are retrieved. A typical use would be sending the Client Portal link with multiple real-time quotes for client review.

XILO Workflow Actions

Send Slack

Enables sending a message to a specific Slack channel.

Time Delay

Allows delaying the next action for a specified period.

Send Twilio SMS

Facilitates sending an SMS using a personal XILO SMS number.

Delay Until Date

Similar to Time Delay, but allows delaying actions until a specific date, like 90 days before a policy expiration date.

Set Lifecycle Status

Changes the status of a Client on XILO's CRM.

Send Gmail

Enables sending emails via a Gmail/Gsuite account.

Send Outlook

Allows sending emails via an Outlook/Microsoft 365 account.
